Envelopes pass an abstract system and become ordered documents. A person reviews prepared items on a tablet and confirms a selection. On-screen text: Your inbox. Your bottleneck. AI prepares. You approve. Where can AI help your business? Find your first workflow. Sound: paper rustling, a soft confirmation tone and ambient effects; no speech.

Start with one process you can observe.

An incoming enquiry becomes a draft reply. A request becomes a prepared quotation. A document becomes a structured record. These are specific workflows you can measure. An entire department is too broad for a useful first estimate: the tasks, error costs and review needs differ too much.

The starting example uses 40 cases per week, 15 minutes of handling time today and 7 minutes for the suitable cases with AI support. Only half the cases qualify. Two hours of monthly maintenance are added. That produces around 9.6 hours of potential capacity per month. These numbers describe the example, not a customer result or an expected outcome for your business.

How the calculation works

Monthly cases = weekly cases × 52 ÷ 12
Capacity change = suitable monthly cases × (minutes today − minutes with AI) ÷ 60 − monthly maintenance hours

Cases that are not suitable retain their current handling time. Human review and corrections belong in the time per assisted case. Ongoing monitoring is added separately, so it is not counted twice. The calculator uses an average calendar month and does not model holidays or seasonal demand.

Turn assumptions into a testable pilot.

  1. Record a sample of real cases: active time, missing information and necessary corrections. Keep sensitive customer information out of this calculator.
  2. Define which cases may be assisted and which must stay manual. Set a named reviewer and a clear stop rule for incomplete or unreliable output.
  3. Compare the same type of work before and during the pilot. Measure review time and rework, not just how quickly an AI produces its first draft.
  4. Review the total effort before expanding: setup, training, software, integrations, permissions and ongoing ownership. A negative result is a reason to adjust the workflow or leave it manual.

More capacity is not automatically more profit.

Hours freed up only become useful when there is a concrete use for them: replying sooner, completing a backlog or serving more suitable clients. Salaried time does not become a cash saving just because a task takes less time. This tool therefore calculates hours, not revenue, profit or a return on investment.
